Planning a flow cytometry society meeting: from purpose to programme

A well-planned society meeting begins with a clear purpose. Decide who the meeting is for, what participants should learn or discuss, and what a successful event would look like. Those choices help guide the programme, practical arrangements and communications.

Assign responsibilities early. Depending on the event, someone may coordinate the programme, speakers, budget, accessibility, registration or participant updates. Make responsibilities and decision-making routes clear, and check in as preparations progress.

Build a programme around the audience and objectives. Balance presentations, discussion and breaks where appropriate, and allow realistic time for transitions. Coordinate with speakers about their topics, timing, format and any materials they need to provide. Keep the programme flexible enough to accommodate practical changes.

Make a budget before making commitments. List expected costs and any confirmed sources of support, then identify who can approve spending and track updates. Do not treat potential sponsorship or other unconfirmed income as guaranteed funding.

Consider accessibility throughout planning rather than as a last-minute addition. Ask what participants may need, provide clear practical information and review the format, schedule and materials with accessibility in mind. Share relevant arrangements in advance so attendees can plan.

Send participant communications at useful points before the event. Include the purpose, programme, practical details, accessibility information and a way to ask questions. If arrangements change, communicate the update clearly and promptly.

After the meeting, gather feedback from participants and organizers. Review what worked, what was difficult and which follow-up actions remain. Record lessons and decisions so future organizers can build on them.

Planning checklist: define the audience and purpose; assign owners; draft the programme; coordinate speakers; prepare and review the budget; consider accessibility; send practical information; confirm arrangements; and collect feedback after the meeting.
